Create and use your own process model template

Applies to: viflow (Abo | 9 | 8) | Article: 3663579 | Updated on 16.01.2026

What is a customized process model template needed for?

You can define your own (process model) templates for all users who model and create process models in viflow, pre-defined with specific content. This prevents, for example, areas (departments) or information from being named differently during modeling than is normally used within the company. The processes to be modeled can also be created as empty processes with the correct names, so that the modeler doesn't have to create them from scratch.

The process model template also allows you to define the layout of the graphics by uploading your own graphic template, for example, with an integrated company logo. You can customize the template with as much detail as needed and use any viflow objects, such as key performance indicators (KPIs) or users. Important predefined objects in a custom process model template might include:

  • Areas (divisions)
  • Information, possibly with hyperlinks to documents
  • Processes (usually empty processes)
  • User
  • viflow options ("File – Options – General/Interface/Graphics")
  • Custom graphic template with company logo

Any process model can be used as the basis for a process model template.
Process model templates are saved in viflow in the *.vftx format and – like any process model – can be accessed via the viflow menu File – New.

Creating and saving your own process model template

  1. In the File tab, click on New.
  2. Double-click on a process model template to serve as the basis for your own template.
If an existing process model is to be used as a basis, open it via File – Open.
  3. Click File – Save As, select the location and name of the new template. Under File type, select viflow Process Model Template (*.vftx). Then confirm with Save.
  4. Make all desired changes to the process model (e.g. adding processes, information, areas, graphic templates, etc.).
  5. Save all changes to the new template.
You can now create new process models based on the new process model template.

Storage location of the process model templates

If you access the viflow menu File – New, you can select from various (process model) templates.

Under Automatically Found Templates In addition to the standard templates installed with viflow, all other templates located in the Documents directory on the PC with the viflow installation will be listed.

Use your own process model template

  1. In the File tab, click on New.
  2. Now select the desired process model template – for example, "Template Company X" – and double-click the corresponding button.
Alternatively, select a process model template and click the Create button on the right.
  3. The new viflow process model based on your selected template will open.
Delete

Saving the process model

When you save the new process model on the server or your PC, it is automatically saved in the standard format for viflow process models: *.vfpx.
